Abacus Consultancy Services (I) Pvt Ltd ("ACS", "we", "us", or "our") built QuickParcel to let companies book, prepay, and track rail parcel freight across India without dealing directly with individual lease holders. This Privacy Policy explains what information we collect through the QuickParcel platform at qparcels.com and its associated web and mobile applications (the "Platform"), how we use and share it, and the choices available to Buyer accounts and their internal Users. By accessing or using the Platform, you agree to the collection and use of information as described here. If you do not agree, please do not use the Platform.
1. Information We Collect
We collect information in three broad ways: what you give us directly, what is generated as your bookings move through the network, and what your device or browser sends us automatically.
a. Account & Registration Information
- Company name and details supplied when a Buyer account is registered.
- Name, phone number, and email address of each internal User (Admin or User role) added to the Buyer account under Company Users.
- Login credentials and OTP verification records used to secure your account.
b. Booking & Transaction Data
- Parcel booking details — dispatch date, origin and destination stations, selected train, sender and receiver/consignee names and phone numbers, article description, weight, piece count, and photographs uploaded during booking.
- Prepayment records — every booking made on QuickParcel is paid in full at the time of booking, so we retain payment amount, payment status, and transaction references for each booking.
- QR codes and tracking events generated as a parcel moves from booking through delivery, and the booking slip issued for each parcel.
c. Automatically Collected Information
- IP address, browser type, device identifiers, and access timestamps, used to secure and administer the Platform and diagnose issues. We do not link IP addresses to your identity beyond what is needed for these purposes.
- Basic usage logs (pages viewed, actions taken) collected for analytics and troubleshooting.
2. How We Use Information
We use the information above to:
- Operate the Platform — create and manage Buyer accounts and their Users, process prepaid parcel bookings across participating lease holders and stations, and generate booking slips and QR tracking codes.
- Communicate with you — send booking confirmations, OTPs, status updates, and support responses via SMS, WhatsApp, email, or in-app notification.
- Maintain security — detect unauthorised access, prevent fraud, and enforce our Terms & Conditions.
- Improve the Platform — understand usage patterns and diagnose technical issues.
- Meet legal and regulatory obligations, including invoicing and record-keeping required under Indian law.
3. How Information Is Shared Within Your Organisation
A Buyer account can have multiple internal Users with an Admin or User role under Company Users. Bookings, invoices, and payment records created under a Buyer account are visible to that Buyer's own Users as configured by their role. We do not allow one Buyer company's data to be visible to another, unrelated Buyer.
4. Sharing With Third Parties
We do not sell your personal information. We share information only where necessary to provide the Platform or as required by law:
- Lease holders and station operators — the operational details of a booking (route, train, sender/receiver, article, weight) are shared with the lease holder and station staff who accept, load, and deliver that parcel.
- Payment gateways — to process the mandatory prepayment collected at booking, in accordance with applicable Reserve Bank of India (RBI) guidelines. QuickParcel does not store full card or bank credentials; these are handled by the gateway provider.
- SMS / WhatsApp / email providers — to deliver OTPs, booking confirmations, and status notifications.
- Hosting and infrastructure providers — to store and run the Platform securely.
- Government and regulatory authorities — where required for tax or other statutory compliance, or in response to a valid legal request.
Any third-party service integrated with the Platform operates under its own privacy practices; we encourage you to review them. QuickParcel is not responsible for the privacy practices of external sites linked from the Platform.
5. Data Security
We maintain administrative and technical safeguards designed to protect information under our control from loss, misuse, and unauthorised alteration. Platform data resides behind a firewall, with access restricted to authorised ACS personnel and role-based access controls within your organisation. Passwords are stored in hashed form, and sensitive actions (such as sign-in) are protected by OTP verification. No method of electronic storage or transmission is completely secure, and we cannot guarantee absolute security, but we work to keep the Platform's safeguards current.
6. Data Retention
We retain booking, payment, and account records for as long as your account is active and thereafter for the period required to meet accounting, tax, and other legal obligations under Indian law, or to resolve disputes. When a Buyer's account is closed, we retain their booking records for a reasonable period to allow export or regulatory compliance before deletion or anonymisation, unless a longer retention period is required by law.
7. Your Rights & Choices
You may:
- Access and update your account information directly within the Platform, or by contacting your Buyer account Admin.
- Request a copy of the personal information we hold about you, or request correction of inaccurate information, by writing to us at the contact below.
- Request deletion of your account, subject to our obligation to retain records required for legal, tax, or dispute-resolution purposes.
- Opt out of non-essential notifications (such as promotional messages) while continuing to receive operational alerts (such as OTPs and booking status updates) needed to use the Platform.
8. Cookies & Similar Technologies
The Platform uses essential cookies and browser local storage to keep you signed in and maintain session state. We do not use these technologies for third-party advertising. You can control cookies through your browser settings, though disabling essential cookies may prevent parts of the Platform from working correctly.
9. Children's Privacy
The Platform is intended for business use by adults acting on behalf of a Buyer company. We do not knowingly collect personal information from anyone under 18. If we become aware that we have inadvertently collected such information, we will take steps to delete it.
10. Changes to This Policy
We may update this Privacy Policy from time to time to reflect changes to the Platform or applicable law. Material changes will be notified via the Platform or by email. Continued use of the Platform after changes take effect constitutes acceptance of the revised policy.
